In order to maximize our marketing opportunities, events and fundraisers at Our Lady of the Lakes, all events and fundraisers must be submitted through the OLL Fundraising / Event Approval Form at least 30 days before the requested date.
This form should be used for any and ALL events no matter how big or small that are being held by ANY person or organization at OLL. This includes but is not limited to: student council selling bagels, can drive, art shows, concerts, trunk-or-treat, used uniform sale, shoot a thon, etc. Committees within the Laker Moms & Dads Club such as the Elementary Blue Crew, MS/HS Blue Crew, Parent Ambassadors or Athletic Boosters should establish an internal process and a point person for submitting this form.
Once approved, the listed contact person will be instructed on how to complete the approval process. Thank you for your assistance, we want to help market your events as effectively and efficiently as possible and can only do so with your help!
Step 1: Create a proposal & establish a point of contact within your organization

Step 3: Once approved, you will receive instructions on how to reserve your location on campus (if necessary).
**Our Marketing Department will be responsible for creating any graphics/flyers for the event as well as pushing out the event to our community via Social Media, Class Dojo, our Family of Parishes, and any other avenues necessary. Please be sure to provide as much detail as possible when filling out the approval form in order for this department to continue their process. All updates to our community and current families about the event via social media should be posted by the school first prior to posting on individual pages.
Step 4: Plan & execute the event, letting the advancement office know if any major changes happen to the initial proposal.
Step 5: Turn in any funds to be deposited and recorded as well as any receipts for check reimbursements. Please do this within 2 weeks of the event taking place.
**Expenditures must not exceed income. ALL expenses must be pre-approved prior to purchase.
**If our Marketing Department is unavailable the day of the event, please be sure to email any pictures that are taken to [email protected]. You can also provide written details of your event to be used for a social media post as well.
Addition Step: If you are planning an event that requires a bus. Please use the transportation request form. I will have it added to the teacher links doc and the event request page. It can take some time to get a response back. It is best to request the bus with as much advance notice as possible.
Note: Athletic event buses are automatically scheduled. No request is needed.
Marketing will do their best to be readily available to take pictures of our athletes. However in the event they are not available they are ALWAYS happily accepting photos/videos with a detailed statement from our coaches and or parents to show our community. We ask that you help us by finding a parent that is willing to take pictures during sporting events when available.
Marketing relies on the managers and coaches to provide game scores for social media posts. Please email shann[email protected] with final scores following the game.
